This Privacy Policy explains how Reliable Residence Inc. ("Reliable Residence," "we," "our," or "us") collects, uses, shares, and protects personal information when you use our website and platform (the "Marketplace Services"). It applies to Renters, Hosts, and visitors to our website. It forms part of our Terms of Service.

Who We Are

Reliable Residence operates an online marketplace connecting property owners with healthcare professionals and other renters seeking furnished monthly housing. We are a marketplace platform. We are not a landlord, property manager, or party to any rental agreement between Hosts and Renters.

We are the controller of the personal information described in this Policy.

Information We Collect

2.1Information you give us

All users. Name, email address, phone number, password, and any information you add to your profile or send through our messaging system.

Renters. Search and booking details, travel dates, the assignment or program you are traveling for, payment information, and the information you submit for tenant screening.

Hosts. Property address, listing details, photos, pricing, availability, banking information for payouts, and tax identification information where required for payment reporting.

Everyone. Anything you send us by email, text, or through support requests.

2.2Information collected automatically

When you use our website we collect device and browser type, IP address, pages viewed, referring pages, and similar usage data. Some of this is collected through cookies and similar technologies, described in Section 7.

2.3Information from third parties

  • Consumer reporting agency. Where we conduct tenant screening, we receive screening results from RentPrep by Stessa. See Section 4.
  • Payment processor. Stripe provides us with transaction status, payout status, and limited account verification information.
  • Sign-in providers. If you sign in through a third-party account, we receive basic profile information from that provider.

2.4Information we do not collect

We do not knowingly collect information from anyone under 18. We do not collect biometric information, precise geolocation, or health information.

How We Use Information

We use personal information to:

  • Create and administer your account
  • Operate the marketplace: listings, search, messaging, booking requests, and confirmations
  • Conduct or coordinate tenant screening
  • Process payments, payouts, and refunds
  • Send booking confirmations, message alerts, payment notifications, and account notices
  • Provide customer support and resolve disputes
  • Verify properties and maintain platform standards
  • Detect and prevent fraud, abuse, and off-platform circumvention
  • Comply with legal, tax, and regulatory obligations
  • Analyze and improve the Marketplace Services
  • Send marketing communications, where you have not opted out

Tenant Screening Information

Tenant screening involves sensitive information and is handled separately from other data.

Where Reliable Residence screens. We collect the identifying information needed to obtain a consumer report, which includes your Social Security number and date of birth, and we transmit it to our consumer reporting agency, RentPrep by Stessa. The report we receive may include a consumer credit report, criminal background check, eviction history, judgment and lien search, and sex offender registry check, subject to the limits described in our Tenant Screening Criteria Policy.

We treat consumer reports as confidential and limit access to personnel who need it for a screening decision or a dispute. Hosts receive only the approved or denied outcome — never the underlying report.

Where the Host screens. Some Hosts conduct their own screening. In that case you provide your information directly to the Host or their screening provider, and we do not receive, store, or control it. That Host is responsible for handling it lawfully.

Your FCRA rights. If we take adverse action based on a consumer report, you will receive a pre-adverse action notice with a copy of the report and a summary of your rights, followed by an adverse action notice if the denial is final. Disputes about the accuracy of a consumer report are handled by the consumer reporting agency; contact RentPrep by Stessa at screening@rentprep.com or (888) 877-8501.

How We Share Information

We share personal information only as described here. We do not sell personal information.

Service providers are bound by contract to use information only for the services they provide to us.

Payment Information

Payments are processed by Stripe. Card numbers and bank account credentials are collected and stored by Stripe, not by us. We receive transaction records, payout status, and the last four digits of a payment method for identification.

Your use of payment features is also subject to Stripe's own terms and privacy policy.

Cookies and Tracking

We use cookies and similar technologies for three purposes:

  • Necessary. Sign-in, security, and core site functionality. These cannot be disabled.
  • Analytics. Understanding how the site is used so we can improve it.
  • Advertising. Measuring and delivering marketing.

Analytics and advertising cookies are set only with your permission. You can accept, reject, or change your choices at any time through the privacy preferences control on our website. You can also block cookies through your browser, though core features may not work correctly.

Email and Text Messages

Transactional messages. We send booking confirmations, message alerts, payment notifications, screening outcomes, and account and legal notices by email and, where you have opted in, by SMS. These are necessary to operate your account and are not marketing.

SMS. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out of SMS, or HELP for assistance. Opting out of SMS does not opt you out of email notices.

Marketing. We may send newsletters and updates about the platform. Unsubscribe using the link in any marketing email. This does not affect transactional messages.

Because we deliver required legal notices electronically, withdrawing consent to electronic communications entirely may require us to suspend or close your account.

When we no longer need consumer report information, we dispose of it using reasonable measures to protect against unauthorized access or use, including secure deletion of electronic records and destruction of physical records.

Security

We use encryption in transit, access controls limiting personal information to personnel who need it, and vendor selection and review for service providers handling personal data.

No system is completely secure. If a breach affects your personal information, we will notify you and any applicable regulator as required by law.

Your Rights and Choices

Regardless of where you live, you may:

  • Access the personal information we hold about you
  • Correct inaccurate information, or update it in your account settings
  • Delete your personal information, subject to Section 11.2
  • Opt out of marketing emails and SMS
  • Manage cookies through our privacy preferences control

To exercise any of these, email contact@reliableresidence.com. We may need to verify your identity before acting on a request.

11.2Limits on deletion

We may retain information where required or permitted for legal, tax, accounting, fraud prevention, or dispute resolution purposes, including the periods in Section 9. Closing your account does not cancel a confirmed booking or end obligations under a Booking Agreement.

11.3State privacy rights

Residents of California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws may have additional rights, including the right to know what personal information is collected and disclosed, the right to correct or delete it, the right to opt out of sale or targeted advertising, and the right to be free from discrimination for exercising these rights.

We do not sell personal information and do not share it for cross-context behavioral advertising.

11.4Consumer report information

Rights relating to consumer reports, including the right to dispute inaccurate information and obtain a free copy after an adverse action, are described in Section 4.

Children

The Marketplace Services are for adults 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Changes to This Policy

We may update this Policy. We will post the updated version here and, for material changes, notify you by email or through the platform. Your continued use after the effective date constitutes acceptance.
